How to Write a Resignation Letter
The ResumeWizard Team · August 2, 2026 · 5 min read
Resignation letters feel high-stakes, but the document itself is almost administrative: it creates a written record that you resigned and when your employment ends. The conversation with your manager carries the emotional weight; the letter just needs to be short, clear, and gracious. Three sentences can do the entire job.
What must a resignation letter include?
Only three elements are required, and they should appear in the first few lines:
- A clear resignation statement: “I am resigning from my position as [role].” No hedging — “I am considering” or “I may need to” creates confusion about whether you actually quit.
- Your last working day, stated as a date and calculated from your notice period — this is the line HR, payroll, and your replacement planning all depend on.
- A brief thanks — one or two sincere sentences about the experience, the team, or what you learned. Brief and true beats long and performative.
An offer to help with the transition is optional but lands well: naming a willingness to document your work or train a successor costs one sentence and sets the tone for your final weeks.
What should you leave out?
Everything else. The letter goes in your permanent employment file and may be read by people who were never part of your story there — future HR checks included. Leave out grievances, criticism of your manager, and complaints about pay or process; none of it helps you, and a bitter letter is the version of you that stays on record. Your reasons for leaving are optional too. “I have accepted another opportunity” is plenty, and even that much is a courtesy, not an obligation. If you have real feedback, offer it in the exit interview, where it can actually be heard.
How much notice should you give?
Check your employment contract before you write anything — the notice period in it is binding, and your last working day follows from it. In the United States, two weeks is the standard courtesy for most roles, though senior positions often give more. In India and much of Europe, contractual notice periods of 30 to 90 days are common, and employers hold you to them. If you need to leave sooner than your contract allows, negotiate: teams sometimes agree to an earlier release, buy-out arrangements exist in some markets, and unused leave can occasionally offset notice. Get whatever you agree in writing.
How do you hand it in gracefully?
Tell your manager face to face or on a call before anyone else hears it — the letter follows the conversation, it does not replace it. Ask how they would like to handle the announcement, then work your full notice at full effort: finish what you can, document the rest, and hand over cleanly. Industries are small, and the way you leave is the last thing colleagues remember about you. If a counteroffer arrives, weigh it calmly against the reasons you decided to go; the letter you already wrote stays exactly the same either way.
Deliver the letter the same day as the conversation — email is normal and fine — so the notice-period clock starts immediately and there is no ambiguity later about when you resigned.
What does a good resignation letter look like?
A short example you can adapt
Dear [Manager's name],
Please accept this letter as formal notice of my resignation from my position as senior accountant at Northwind Logistics. In line with my two-week notice period, my last working day will be Friday, August 28, 2026.
Thank you for the opportunities I have had here over the past three years, and in particular for your support as I grew into the senior role. I am grateful for what I have learned from you and the team. Over my remaining weeks I will complete the quarter-end close, document my processes, and help train whoever takes over my accounts to make the handover as smooth as possible.
Sincerely, [Your name]
Notice what the example does not do: it gives no reason for leaving, airs nothing, and still reads as warm. Swap in your role, employer, notice period, and specifics, and it will work for almost any resignation.
If you are staring at a blank page on a hard day, ResumeWizard's resignation letter generator produces this exact structure — statement, date, thanks — from a few details, so you can review it once and get back to planning your next role. And once the letter is sent, the productive move is updating your resume for wherever you are headed next.
Frequently asked questions
- Do you have to give a written resignation letter?
- Usually yes in practice, even where a verbal resignation counts. Most employment contracts and HR departments require written notice because the letter fixes two facts on the record: that you resigned voluntarily and when your employment ends. A short email to your manager and HR satisfies this almost everywhere. Check your contract for any required format or recipients.
- Do you have to give a reason for resigning?
- No. A resignation letter is valid with just the resignation statement, your last working day, and a thank-you. If you want to say something, one neutral line such as “I have accepted a position at another company” is enough. Detailed reasons belong in the exit interview if anywhere — the letter stays in your file permanently.
- Can you resign with immediate effect?
- Sometimes, but treat it as a last resort. If your contract specifies a notice period, leaving immediately can forfeit pay, references, or in some countries trigger recovery of notice-period salary. Genuine grounds — health, safety, serious breaches by the employer — change the picture. Otherwise, negotiate an earlier release date with your manager and get the agreement in writing.
- Should you tell your manager before sending the letter?
- Yes, always. Resigning by surprise email reads as avoidance and sours an otherwise clean exit. Book a short one-on-one, say it plainly, and send the letter the same day so the notice period starts on record. Your manager also gets to shape how the news reaches the team, which they will remember as a professional courtesy.
